Terms and conditions

Version 2026-08-22. Which version a pharmacy accepted, and when, is recorded by us.

1. For finding an appointment

Searching for vaccination appointments and booking one are free of charge for you, and no separate conditions apply. What we do with your data is in the privacy policy.

What Impflotse does here and what it does not: we arrange the appointment. The vaccination contract is concluded exclusively between you and the pharmacy, and the pharmacy decides on site whether it vaccinates — it checks the conditions in each individual case and checks your ID. A booking through Impflotse is therefore a confirmed appointment, not a promise that you will be vaccinated.

Vaccination at a pharmacy is only possible from the age of 18. You can cancel a booked appointment online up to 24 hours before it starts, and by telephone with the pharmacy after that. Whether you turned up is recorded by the pharmacy; that is part of its documentation and costs you nothing.

Statements about cost and cost coverage reproduce what applies to the vaccination in question and name the price the pharmacy stated for self-payers. What you pay in your case is settled between the pharmacy and your health insurer — no payment runs through Impflotse. We give no medical advice.

2. For pharmacies

These terms apply between us and the pharmacy using Impflotse. Whoever registers confirms that they are entitled to represent the pharmacy.

2.1 How the contract is formed

You start the registration on our site; we send the confirmation link to the address held for your pharmacy. Through that link you complete your details, accept these terms and create your login. Every field can be changed until you submit, and the form rejects incomplete entries before that. Anything you notice afterwards you change in the portal, or write to us.

Submitting the form is your offer; the contract is formed when we activate your pharmacy (section 2.7). The language of the contract is German. This page carries the version in force — you can read, print and save it as you accept it. We keep no copy on your behalf.

2.2 What you get

Basis, free of charge and permanently: a bookable calendar, a public profile, the portal, the day’s appointment list and the appointment planner for your own website. Being found and being booked costs nothing.

Komfort, 2 € a month or 20 € a year: the calendar subscription and the figures on your own appointments as well. Anything beyond that is agreed separately.

We offer no ancillary goods or services, neither ourselves nor through third parties, and we market your offering through no further sales channel and no affiliate programme. Were one added, it would stand here before it began.

2.3 The order pharmacies appear in

In the radius search, distance alone decides — nearest first. On the page for a vaccination and the page for a district, connected pharmacies come first and the rest follow, each group in alphabetical order by name.

Connected means: a bookable calendar. That precedence belongs to bookability, because a free appointment is worth more to someone searching than an address they first have to write to — and it comes with Basis, so without paying. No payment influences the order, neither directly nor indirectly; no list depends on Komfort. We offer no vaccinations of our own, and we favour no pharmacy over another.

2.4 Which data you see and which we see

In the portal you see your own pharmacy’s bookings with the details the appointment needs, the day’s appointment list, the calendar subscription if you want it, and with Komfort the figures on your own appointments. You do not see other pharmacies’ bookings, and we give you no data covering the service as a whole — not in aggregate either.

We have access to everything held on our servers and use it to run the service. Only what running it requires goes to third parties; who they are is in the privacy policy. For advertising we pass on nothing — neither your data nor your customers’.

When the contract ends we keep no access to your content: profile, calendar and logins are deleted. What remains of bookings are anonymised records that can be traced neither to you nor to any person. While the contract runs you can view your data in the portal.

2.5 You stay free

You may fill your appointments any other way at any time — by telephone, at the counter, through your own website or through another service — and there on other terms and at other prices. We require no exclusivity, and we tie nothing to what you charge elsewhere.

2.6 Tariffs and payment

The prices stated are final. We charge no value added tax (§ 19 UStG).

You book Komfort in the portal, not when you register. The amount is collected by SEPA direct debit at the start of each billing period; you grant the mandate in the portal. We notify you at least one day before a collection, and may do so for several collections at once.

Komfort runs until you cancel it — at any time in the portal, to the end of the period you have paid for. We do not refund part of a period already paid. Price changes are announced like any other change to these terms.

If a payment fails you have 14 days. After that the calendar subscription and the figures rest until the payment arrives. Your profile, your calendar and your bookings are untouched — we do not take a pharmacy out of the search over an unpaid invoice.

2.7 Registration and activation

You can register your pharmacy yourself. If it is on our list, the confirmation link goes to the address held there. We review every registration and activate it only afterwards — before that your pharmacy is not publicly visible and cannot be booked.

We may refuse activation if your details are incorrect or incomplete, if it cannot be established that you are entitled to represent the pharmacy, if the permission to vaccinate is missing, or if a ground under section 2.9 applies. We tell you in writing why we refused. There is no entitlement to activation.

2.8 Your obligations

You keep your vaccination offering, vaccination times, opening hours and prices up to date, and you cancel appointments you cannot keep. You ensure that you are permitted to vaccinate, and you carry the professional and advertising-law responsibility for what you state about your offering. You do not pass on login details or calendar addresses; a calendar subscription can be invalidated in the portal at any time.

The rights in the text, images and details you publish remain yours. You grant us only the right to store them, display them and make them findable in order to run the service — non-exclusive, non-transferable and limited to the term of the contract. Anyone can report unlawful content on a profile to us informally; we review every report and tell both the reporter and you what we decided.

2.9 Term, cancellation and suspension

No minimum term, cancellable at any time — by you in the portal or informally to us, by us on 30 days’ notice in writing and with reasons. You can take your pharmacy out of the search yourself at any time without cancelling.

We may restrict or suspend your access if your details are incorrect, if the permission to vaccinate lapses, if you breach section 2.8, if you use the service unlawfully, or if the security of the service requires it. We tell you in writing what moved us to do so, at the latest when the measure takes effect. The 30 days fall away where a legal obligation removes them, where good cause exists, or where you have repeatedly breached these terms. Once the ground falls away we restore your access together with your data.

Appointments already booked remain valid in every case; you either keep them or cancel them.

2.10 Liability and availability

We owe the arranging of appointments, not any particular availability and no number of bookings. Maintenance and faults are possible. We are liable without limit for intent and gross negligence and for damage arising from injury to life, body or health; for ordinary negligence only for breach of material contractual duties, and limited in amount to the damage typically foreseeable for this kind of contract. For the vaccination itself you are liable.

2.11 Data protection: who is responsible for what

For the platform — search, booking, accounts, logs — we are the controller within the meaning of Art. 4(7) GDPR. As soon as you use the data from a booking for advice, vaccination and your own documentation, you are. Which agreement under Art. 26 or Art. 28 GDPR applies alongside is settled separately with you. What we process ourselves is in the privacy policy.

2.12 Changes to these terms

We may change these terms if the law or the case law changes, if we add a feature to the service or withdraw one, or if a technical or operational reason requires it. What we owe you and what you pay is not changed this way — that needs your agreement. We change nothing retroactively unless a legal obligation requires it or the change is to your advantage.

A change is announced at least 30 days beforehand in writing, stating what changes and the day it takes effect. Until then you can cancel, and the cancellation takes effect immediately. If you do not cancel, the change applies from the day named. The period is shorter only where a legal obligation has to be met sooner or the change averts an immediate danger to the service.

2.13 Complaints

You can complain to us informally; we answer within 30 days. We maintain no formal complaint-handling system and name no mediators under Arts. 11 and 12 of Regulation (EU) 2019/1150 — both provisions exempt small enterprises, and we are one. If you propose mediation in an individual case, we are willing.

3. Governing law and place of jurisdiction

German law applies. The place of jurisdiction for disputes with pharmacies is Berlin. For consumers the statutory places of jurisdiction remain, and mandatory provisions of their country of residence are unaffected. We do not take part in dispute resolution proceedings before a consumer arbitration body.
